Budgets are where reviewers spend the most time and applicants spend the least. The mistakes below appear in a large share of rejected applications, and every one of them is avoidable.
1 . Totals that do not add up
The single most common rejection reason is arithmetic. Reviewers re-add every column, so a spreadsheet that disagrees with the narrative by even a few dollars reads as carelessness.
2 . Line items outside the allowed uses
Every grant lists eligible expenses. Salaries, rent, or debt payments slipped into a budget that excludes them can disqualify an otherwise strong application.
3 . Round numbers with no backup
A budget full of $5,000 and $10,000 entries signals guessing. Quotes, price screenshots, or vendor estimates turn the same numbers into evidence.
- Attach at least one quote per major line item
- Date every estimate so reviewers know it is current
- Explain any contingency line explicitly
